BestHire Pre-Employment Screening Services respects the privacy of its clients and the subjects of its pre-employment screening services.  It is responsible for the information it collects, holds or is under its control. We have designated a Privacy Officer to ensure our compliance with both provincial (PIPA) and federal (PIPEDA) privacy legislation; to receive and respond to questions and complaints; and to deal with access and rectification of files. Types of Personal Information We Collect and Hold

The nature of personal information we collect may include:

  1. Information we receive from our clients, such as name, gender, address, phone number, cellular phone number, email address, occupation, occupation address, driver'€™s license number, social insurance number, credit card number, and chequing account information;
  2. Information we receive from our clients regarding the subject(s) of our pre-employment screening services, such as name, gender, address, phone number, email address, occupation, occupation address, employment history, driver’s license number, social insurance number, associations and/or clubs, relatives, friends, and educational history.

The type of personal information BestHire collects about an individual is dependent upon the type of pre-employment screening service for which BestHire has been retained. We will restrict the personal information we collect from each client and obtain in the course of a pre-employment screening service to the minimum required to successfully accomplish the task for which we have been retained.

Purposes for Collecting Your Information

We will only collect information when we have been contracted to conduct a pre-employment screening service. We may obtain personal information directly from the client and through applications, credit bureaus, consumer reports, resumes, employment and reference interviews, or by other legitimate means.

How We Use Personal Information

We use personal information to aid in conducting a pre-employment screening service in which we have been retained. Through our consent form, we explain to the subject of a pre-employment screening service to what use his or her personal information will be put before or when we will collect such information. We will restrict our use of personal information to the pre-employment screening service in which we have been retained and to the purposes identified to the subject of the pre-employment screening service.

Disclosure of Information

Given the type of the products and services that BestHire provides in the normal course of business, it is sometimes necessary to provide an individual’s personal information to a third party. We will only disclose the individual’s personal information with the individual’s consent. When it is necessary to provide an individual’s personal information to a third party, BestHire provides only the information necessary for the third party to provide the service.

Consent

Canada’s privacy laws stipulate that an individual’s consent is required prior to or at the time BestHire collects his or her information. Except for certain limited exceptions defined in Canada’s privacy laws, consent is also required prior to our disclosing any personal information to a third party. Consent may be written, oral, or implied by an individual who is the subject of a pre-employment screening service or by an existing client who requests a pre-employment screening service on behalf of an individual, future services, or one who continues to use our products and services without objection after receipt of this Privacy Policy. If an individual refuses to consent to the collection, use or disclosure of his or her personal information in the course of a pre-employment screening service, BestHire may be unable to provide the product or service requested.

Protection of Personal Information

BestHire will take all reasonable precautions to protect the information entrusted to us by our clients and obtained in the course of a pre-employment screening service.

BestHire uses a number of manual and electronic controls to protect personal information that has been provided to us and obtained by us in the course of a pre-employment screening service. These controls include restricted access to our premises, user authentication encryption, firewall technology and the use of detection software.

Furthermore, BestHire only allows access to an individual’s personal information to those employees who need to use it in the course of their work. These employees are made aware of this responsibility and are trained in the proper handling of this information.

Finally, BestHire will not disclose any client information, any subject information, or any information learned in the course of a pre-employment screening service to any external organization or individual without the explicit written consent from our client.

Retention of Personal Information

BestHire will only retain an individual’s personal information for as long as is necessary to fulfill the purposes for which it was collected or as required by law.

Accessing Your Personal Information

An individual has the right to access his or her personal information subject to any legal restrictions. If there are any reasons why access is denied, the individual will be advised of those reasons in writing.

When an individual demonstrates that any information held is inaccurate or incomplete, BestHire will make appropriate changes to that information. Any concerns regarding information that BestHire maintains should be addressed to our Privacy Officer.

All requests must be made in writing with accompanying colour copies of identification, one picture (driver’s license) and any form of acceptable secondary identification (social insurance number, credit card, et al) and mailed to the attention of our Privacy Officer at the abovementioned address.
